Agency credits DORIS software in accepting environmental recognition
Portsmouth Atlantic Insurance has never had to "go" paperless. It has always been a paperless agency, ever since it opened its doors in 2005.
The six-user DORIS agency in Portsmouth, N.H., recently earned recognition from a local environment group for its green efforts, and paperless operation is a major initiative. To be as efficient as possible and conserve resources, the agency committed to being paperless from the time it signed its first policy. To do so, DORIS was the company's choice of agency management software.
"I'm able to access clients' documents immediately," agency owner Jon Merwin told fosters.com, a site covering local news. "I don't have to go digging around in a file cabinet. In a small location, there's no file space whatsoever."
Saving space by keeping all files digital means a cleaner work environment and saves time when employees look for files. But it also means the agency saves money on paper, postage and other office supplies. Merwin said his agency e-mails about 90 percent of its applications for electronic signatures, saving time as well as postage and labor costs.
Most important from an efficiency standpoint, paperless operation is largely a result of optimal document management technology, made possible in DORIS.
With some clients, paper documents are unavoidable. In those cases, the agency can still be good to Mother Earth. Once documents are completed, they are scanned and loaded into DORIS, then shredded and recycled.
The agency is a member of a local environmental business union and sustainable consumer co-op called the Green Alliance. The group teaches good environmental practices and the environmental impact of common products and services. The Alliance certifies local green businesses so consumers can easily identify them and learn the details of each business' environmental efforts.
